The September Studio Owner Reset: Get Your Dance Season Organized

September is an important transition month for dance studios.

The excitement of registration and the first weeks of classes are beginning to settle, and you're getting a clearer picture of how the new season is actually going to operate.

This makes September the perfect time to pause, evaluate, and get organized before the busy months ahead.

Here are a few things every studio owner should put on their September checklist.

1. Review Your Class Rosters

Now that classes are underway, take a close look at your enrollment.

Are there classes that still have openings? Are some classes fuller than expected? Are there students who need to move levels or schedules?

Use what you're seeing now to make adjustments while there is still plenty of time left in the registration season.

2. Make Sure Your Student Information Is Accurate

September is a good time to make sure you have the information you need for every student and family.

Review:

  • Contact information

  • Emergency contacts

  • Class enrollment

  • Student levels

  • Attendance

  • Important family information

  • Payment information

Starting with accurate information makes everything else easier throughout the year.

3. Review Your Billing and Payment Processes

Don't wait until the end of the year to discover problems with your billing process.

Take a look at your current payment procedures and make sure families understand when payments are due and how they can pay.

This is also a good time to identify outstanding balances and establish a consistent process for following up with families.

4. Establish Communication Expectations

September is the perfect time to establish how your studio communicates with families.

Determine:

  • How important announcements will be sent

  • Where families can find schedules

  • How teachers communicate with parents

  • How payment reminders are handled

  • Where families can find important studio information

Clear communication from the beginning can prevent confusion later in the season.

5. Start Thinking About Recital

It may seem early, but recital planning should already be on your radar.

You don't need to have every costume or dance selected yet. However, September is a great time to confirm your general timeline and make sure you know when major decisions need to be made.

Before October, you should be thinking about your venue, show structure, choreography timeline, music, and costume planning.

6. Check In With Your Teachers

Your teachers have valuable insight into how the new season is going.

Ask them:

  • How are their classes going?

  • Are students at the appropriate levels?

  • Are there any classroom concerns?

  • Do they need additional resources?

  • What support would help them this season?

A short check-in now can prevent small issues from becoming larger ones.

7. Look for Opportunities to Simplify

September is also a good time to ask yourself an important question:

What am I doing manually that doesn't need to be this difficult?

If you're managing enrollment, billing, attendance, progress reports, recital information, and other studio details across multiple spreadsheets, notebooks, emails, and systems, it may be time to consolidate.
